ETHOS ATHLETICS REFUND POLICY

Ethos Athletics understands that circumstances can change. The following policy outlines refund and cancellation eligibility for Ethos Athletics programs and services.
Refund eligibility varies depending on the type of program purchased.
Camps & Clinics
Participants may cancel their registration and receive a full refund when cancellation is completed at least 14 days before the scheduled start date of the camp or clinic.
Cancellations made fewer than 14 days before the scheduled start date are non-refundable.
All approved refunds are subject to deduction of the original payment-processing fee of 2.9% of the transaction amount plus $0.30.
There are no partial or percentage-based refunds for Camps or Clinics.
Registrations are non-transferable unless otherwise approved by Ethos Athletics.
Academies & Elite Performance Programs
Academies and Elite Performance Programs are longer-term development programs in which spaces, coaching resources and program planning are committed to athletes for the duration of the program.
If an athlete withdraws after registering, any eligible refund will be calculated proportionally based on the remaining sessions at the time of withdrawal, less applicable payment-processing or administrative fees.
As the program progresses, refund eligibility decreases.
No refund will be issued once more than 50% of the program has been completed.
Sessions missed before an athlete officially withdraws are considered completed sessions when determining any refund.
Missed sessions do not qualify for individual refunds, credits or make-up sessions.
All withdrawal and refund requests for Academies and Elite Performance Programs must be submitted in writing to Ethos Athletics.
Registrations are non-transferable.
Youth Programs
Unless different terms are provided during registration, withdrawals from multi-week Youth Programs will follow the same refund structure as Academies and Elite Performance Programs.
Any eligible refund will be calculated proportionally based on the remaining sessions at the time of withdrawal, less applicable processing or administrative fees.
No refunds will be issued once more than 50% of the program has been completed.
Missed individual sessions do not qualify for refunds or credits.
Private Training
Private training sessions may be cancelled for a refund at least 14 days before the scheduled session date.
Cancellations made fewer than 14 days before the scheduled session are non-refundable. This policy is in place because gym time, coaching and other resources are reserved and paid for in advance by Ethos Athletics.
All approved refunds are subject to deduction of the original payment-processing fee of 2.9% of the transaction amount plus $0.30.
Missed sessions and no-shows are not eligible for refunds or credits.
Payment Processing Fees
Where a refund is approved, payment-processing fees originally incurred by Ethos Athletics are non-refundable.
For transactions subject to the standard processing rate, the amount deducted from the refund will be:
2.9% of the original transaction amount + $0.30.
If a transaction was subject to a different payment-processing fee, the actual non-refundable processing cost may be deducted instead.
Cancelling a Registration
Where online cancellation is available, participants or parents/guardians may cancel eligible registrations directly through their online account.
Cancelling a registration does not automatically mean that the registration qualifies for a refund.
Refund eligibility will be determined according to the applicable program policy and the date the cancellation is submitted.
Where online cancellation is unavailable or where a written refund request is required, please contact Ethos Athletics.
Programs Cancelled by Ethos Athletics
If Ethos Athletics cancels an entire camp, clinic or program and does not provide a reasonable replacement or rescheduled option, affected participants will be offered an appropriate refund for the portion of the service that was not provided.
If an individual session must be cancelled, Ethos Athletics may provide a rescheduled session, replacement session or other reasonable solution where possible.
Weather, Facility & Circumstances Outside Our Control
Programs may occasionally be affected by severe weather, facility closures, emergencies or other circumstances outside the reasonable control of Ethos Athletics.
Ethos Athletics will make reasonable efforts to reschedule or provide an alternative where practical. A cancellation or schedule change caused by circumstances outside our reasonable control does not automatically result in a full refund.
Injuries & Medical Circumstances
If an athlete is unable to continue participating because of a significant injury or medical circumstance, the parent/guardian or athlete should contact Ethos Athletics.
Ethos Athletics may consider a refund or credit for the unused portion of a longer-term program based on the circumstances and remaining program sessions.
Documentation may be requested where reasonably necessary.
Refund Processing
Approved refunds will be returned to the original payment method where possible.
Processing times may vary depending on the payment provider or financial institution. Typically 3-5 business days.
